Easily attach documents to Outlook emails directly from Vertec and create your own custom email templates.

Note: Previously, the plug-in was called “Email Templates”. You can install this plug-in over the old one, but it will overwrite list settings and other customizations you made. After importing the new version, the field must be Select body text be replaced.

Requirements

  • The Expert product line is a prerequisite for this plug-in.
  • The additional class27 may not yet be in use unless it has the entry ID ClassSettingsZK27EMailTemplates and comes from the already loaded Plug-in dunning system .
  • Microsoft Outlook for Windows must be installed.

Application

In the root folder Settings, the folder Report Dispatch is created with the subfolder Templates Report Dispatch.

Managing Templates

The templates are maintained in the folder Report Delivery folder. The folder contains the two predefined report templates Offerte (offer) and Rechnung . For each template, the following information may be provided:

Under this name, the template is shown in the dialog.

Classes

Specifies which class the template is valid for. A valid Vertec class must be entered.

Condition

Optionally, a condition can be entered here. This condition is not evaluated on lists. However, if there is only a single object, only those email templates that meet the condition are offered for selection.

Email details
  • Recipient and subject are in OCL indicated.
  • In addition to the report template, another document from the file system can be attached as an attachment.
Email Body
Here you can choose between report template (only   Office Reports with output format Word) and free text.
  • Report template: The content of the generated Word document is inserted into the email as body text.
  • Free text: The email text can be entered as simple free text. With the button Vorschau in Outlook the template can be opened as an email.
Send e-mails via

Here you can choose between Outlook and SMTP.

  • Outlook: By choosing the option Outlook the email will be sent using the Python method createoutlookmail() created. The created email will be created in the Drafts folder in Outlook. This method only works with the desktop or cloud app.
  • SMTP: By selecting the option SMTP the email will be sent using the Python method sendmail() created and shipped directly. This method works with all apps, but on-premises customers need the appropriate system settings have been configured.

Create and send email from template

To create a document and attach it to an email, on an object or list, call the script from the Actions menu E-Mail aus Vorlage erstellen und senden to:

You can then select which report template you want to print. All templates for the corresponding class will be shown. registered The criteria that the reports must meet in order for them to appear for selection can be found in the Report Template Requirements section below.

Then click on OK :

  • If for the corresponding class more than one Email Template is available, it can be selected in the next step. If there is only one template, it will be executed directly.
  • If there is no e-mail template or the Abbrechen clicked, a blank email with attachment is created. Otherwise, the information from the template is entered.

Depending on the setting on the template (see E-Mails versenden über ) as a draft in Outlook or sent directly. If a Company logo is stored, this show is displayed at the bottom of the email.

Reporting template requirements

There are     Report templates for selection, which meet the following requirements:

  • The report is active
  • The report must be registered on the class of the object
  • The report must be executable on individual objects
  • A memory path must be entered (only for System settings Document storage file system or DMS)
  • For at least one object in the list, any condition entered is true

Also on lists, only the individual reports are considered. Each report is generated once for each object in the list. If the operation is executed on a list, corresponding reports may be Office Reports None showcustomdialog or inputbox because otherwise this is shown for each individual object. In the case of individual execution, however, interactive queries are possible.
