Why your Vertec needs regular care
On a Monday morning in September, a small training session is scheduled at one of our long-standing customers. New employees are supposed to get an introduction to the Vertec system.
The two employees start their Vertec and, as they take the first steps of implementation, it immediately becomes obvious that the system in its current state is not being used efficiently. Lists load slowly, the folder structure seems confusing, certain processes are missing at all. The system has obviously not been taken care of for a long time. It quickly becomes clear that there is untouched potential here.
Since it is initially only a small implementation, there is no room for in-depth discussions. The customer therefore decided to purchase a review package. This allows for the analysis of the current system in a workshop, shows suggestions for improvement, and thus allows the full potential of Vertec to be exploited.
The workshop
10-point plan for a sustainable Vertec
On the day of the workshop we start with our 10-Point Plan for a future-proof Vertec. It is available to all customers on our knowledge base, the customer was able to prepare accordingly. Several optimization possibilities came to light already when going through the checklist for the first time:
Outdated Vertec version: An update to the latest Vertec version is necessary to take advantage of important new features.
Security: Two-factor authentication is recommended and should be implemented.
Performance issues: The list structure is being reviewed to improve performance.
Legacy report templates: The report templates are migrated to modern Office reports. Unused report templates are disabled.
Obsolete scripts: Scripts written in the obsolete VB (Visual Basic) language will be rewritten to the modern programming language Python.
Business Processes
According to the 10-point plan, the business processes are being looked at closely. Which processes have not been implemented to full satisfaction as of today? Which additional processes can be supported by Vertec?
Process mapping: The invoicing process will be optimized, the expense process and increased support for HR will be redefined in order to use Vertec optimally here as well.
Vertec additional functions: Available additional features are discussed, suitable ones are determined, and their implementation is considered.
Permission structures: Too many users have administrator rights, the permission structure is being rethought from scratch.
The Review Workshop provides an opportunity to ensure that Vertec remains flexible enough to meet the requirements on the long run.
Regular reviews – key to efficiency
This case shows once again how important it is to continuously review and maintain Vertec. Even though a system just works in everyday business, we still see unused potential in the software environments of many customers.
