To help you work with Vertec, we have compiled a glossary to explain frequently used terms.

Address

Vertec has four types of addresses:

  • Accounts
  • Contacts, where the contact is a combination of an account and a personal information
  • Persons
  • Couples, where the couple is a combination of two personal informations (Expert product line only)

Activity

Vertec activities allow you to manage project-based events, tasks, follow-ups and unfinished activities. Activities are usually entered by an employee on a project or a subproject. Typically, activities are entered for contacts with the customer (phone, email). An activity can also have a task character. For this purpose, a responsible employee and a follow-up date can be specified on the activity.

User

Works on projects in Vertec. Active users can log in and enter services and expenses.

Cloud App

The Vertec Cloud App is a Windows app. It is slim, fast and suitable for high-performance access in the LAN, as well as for remote access via VPN to the company network. Unlike the Vertec Web App, it can interact with the local Windows environment and has access to the file system.

Service

In Vertec, the service is the actual work unit entered. It is assigned to a project and an employee. Any number of services can be entered daily.

Project

Vertec works on a project-based approach. Within a service order, all work is assigned to a project. Several (active or inactive) projects can run concurrently for a customer. Services and expenses can only be entered on active projects. The project is the billing basis, invoices are created per project.

Project language / Case language

Vertec allows you to switch between project and case language. The so-called jargon can be set in Settings > System settings General. The following terms are used as synonyms:

Invoice

Services and expenses can be charged automatically per project. First, a provisional invoice is created. This can be adjusted before it is charged and thus locked. If an accounting program is connected, the invoices can also be posted directly via the extension.

Report

Reports form the basis for the generation of documents. Document such as letters, faxes or invoices are created directly in Vertec. The document is automatically saved to the file storage and, at the same time, linked to the correct location in Vertec. In principle, the Office reports for Word and Excel can also be created and modified by the customer.

Expense

Expenses are expenses that have been incurred in the course of work for a project. These can be, for example, travel expenses, copying or material costs.

Expense type

Just like services on service types, expenses can be entered on expense types. For the expense types, a unit is defined that can be charged. For example, a unit of 0.2 can be defined for the copying costs. The user then only has to specify the number of copies, the price is calculated automatically by Vertec.

Rates table

The rates table is a matrix of user levels and rate levels. Each user is assigned a user level and each project is assigned a rate level. From this combination, the valid hourly rate can be set automatically when entering services from the rates table.

Service type

Describes the type of work that has been carried out as part of a service. The services can be assigned to these service types.

Currency

Currencies can be freely defined in the Expert product line. You can define the currencies in which you normally charge as the key currency. If you use several currencies, define the relevant exchange rates.

Web App

The Vertec Web App is a browser app that runs in the most common browsers. It is suitable for data entry and retrieval, and can be used anywhere, but not all features are available. An overview of the functionality is available here. Mac users can use the Web App in the browser and thus access the most important Vertec features.
