Vertec as a law firm management system

As a standard CRM and ERP software, Vertec has the most important features that are required in the day-to-day work of the law firm. In addition, the software can be easily adapted to the individual requirements of a company. That is why Gütt Olk Feldhaus Partnerschaft von Rechtsanwälten mbB chose Vertec instead of a classic law firm management system in their evaluation.

Requirements for the new software

In a pre-project, our project leader took a close look at the wishes and demands of the Munich-based law firm. The mapping of different rate levels per user/seniority, for example, as well as specific, automated tariff calculations were part of their requirements.
Depending on the case – i.e. the lawyer and the associated client and their assignment – individual hourly rates should be calculated.

The complex mandate structure with its internal and external role-based system was another challenge. In particular, the user rights, who gets access to a case and to what extend, should be automatically created.

When opening a new case, the necessary organizational processes now take place independently. Once the conflict check is performed, Vertec displays client-specific checklists or the GWG assessment (German Money Laundering Act) and sets the right tariffs for the specific lawyers. This means that employees can fully focus on the client’s concerns and no longer have to worry about doing too much administrative work.

Automated controlling

In addition to general evaluations, such as the billability of a case, Vertec has developed specific evaluations on mandate level, which can be shown graphically directly in Vertec using the Business Intelligence (BI) module.
A check function for working days that have not been entered in the time tracking helps to reliably enter the hours worked. Evaluations that were previously generated manually are now performed at the push of a button and can only be accessed by the authorized user.

Existing extensions have been integrated

The law firm had already used iManage as a DMS before Vertec was implemented. By setting up the extension, these two tools are now synced, so that cases are also automatically created in iManage and updated when changes are made.
