Older services, expenses, outlays, and absences may not be able to be changed. Vertec provides a number of system settings that you can use to ensure this. Basic settings

Blocking Date

A date can be specified here. For services, expenses, outlays and absences that fall before this blocking date, the internal values can no longer be adjusted (see Impact below).

Services, expenses, outlays and absences entered up to date and backdated before this blocking date are automatically invalid.

Blocking Period

The blocking period works in the same way as the blocking date, only the quantity of days that applies retroactively from today’s date is specified here. This is valid continuously and is automatically “carried forward”.

Blocking by user shares

If this option is set, entering new services, expenses, outlays and absences that are in the period of approval is blocked as soon as the user sets a check mark for Approved by user.

If more than one or all of these settings are set, they are taken into account in the following order:

If one of the above blocking dates is set, the following exceptions can be defined:

Unblock supervisor

If this option is set, editors who belong to the Project Supervisors user group can also adjust services, expenses, outlays, and absences that fall into a block.

This right also applies to team leaders. If a user has the Team Leader right, this option gives them write access to blocked services, expenses, outlays, and absences of their team members.

If you want to exclude outlays from the blocks, this option can be turned off. The blocks will no longer be considered for outlays.

By default, blocked services, expenses and outlays can also be assigned to another project/case or phase. If you want to prevent this, activate this option.

If the date is changed, check the blocking date again

Invalid objects are deleted when exiting Vertec after query. However, if an entry was already valid once and becomes invalid again after a change, it is no longer deleted when exiting, only marked as invalid.

You can set this option to ensure that services, expenses, outlays and absences that are subsequently backdated are deleted when exiting, unless they are adjusted accordingly.

Impact

The blocks (blocking date/blocking period/blocks upon approval) affect services, expenses (if option blocks also apply to expenses set), outlays (if option blocks also apply to outlays set) and absences.

All values are locked except:

  • Invoice (the entry can be assigned to another invoice)
  • Type (service, expense, outlay and absence type can be changed)
  • Text
  • Approval (expenses)
  • All external values such as:
