Plug-in: Getyourlawyer extension

Increase your efficiency on the consulting platform GetYourLawyer and take care of your new customers acquired through GetYourLawyer as usual from Vertec.

With this plug-in, you can activate the Getyourlawyer extension in Vertec. Services and expenses recorded in Vertec are carried over to Getyourlawyer at the push of a button.

Download the plug-in with the following download link and install it in your Vertec. The exact procedure is in the article Things worth knowing about the plug-ins described.

Requirements

• The Expert product line is a prerequisite for this plug-in.
• For the operation of the extension you need a user account as a lawyer with the consulting platform GetYourLawyer .

Each employee whose services and expenses are to be carried over needs a valid lawyer ID from Getyourlawyer.

In order for the Vertec users of Getyourlawyer to be identified and the services assigned correctly, the Anwalt ID on the user in Vertec.

On the user under More info there is a field GetYourLawyer ID :

Here you have to enter the lawyer ID from GetYourLawyer. You can find this in the editor settings under Anwalt ID :

3. Identify cases

Each case from which services and expenses are carried over to Getyourlawyer requires a mandate reference from Getyourlawyer.

Contribute to the case in Vertec GetYourLawyer ID Under More Info enter the corresponding mandate no. from GetYourLawer:

4. Carrying over data to Getyourlawyer

Data transfer is executed out per case. Right-click on the case or in the Actions menu Datenübertragung GetYourLawyer :

This menu item appears as soon as on the case a GetYourLawyer ID is registered.

All open services and expenses of the case are carried over. For service expenses and expenses that have already been carried over, a check is made to see whether the latest changes are newer than those available in Getyourlawyer. If this is the case, an update is carried out. In Getyourlawyer, the exported services and expenses on the corresponding case appear in the time recording.

Overview of carried over data

Under Data transfer Getyourlawyer in the tree of the case, you will receive an overview of all open services and expenses of the case, including the current transfer status:

This container is shown when:

• a Getyourlawyer ID is registered on the case (see section Identify cases )
• there are open services or expenses on the case

Service requirements and expenses for data transmission

GetYourLawyer has some requirements for carried over services and expenses, including:

• The hourly rate must be below a limit defined in Getyourlawyer
• A text must be entered

These conditions are not pre-checked in Vertec. If a transfer fails, the corresponding error message from Getyourlawyer in Vertec will be displayed in the Status shown:

The error can be corrected in Vertec and the data transfer can be started again.

In the case of services, service type entered, the text of the service type is entered in the field Typ in Getyourlawyer. If not, it simply says “service”.

In the case of expenses, the Typ in Getyourlawyer always “expenses”. Vertec therefore carries over the text of the Expense type , if any, and the text of the expense as description text in GetYourLawyer. Example:

• Type: HOTEL
• Text: “3 days in Zurich”

results: Hotel accommodation 3 days in Zurich.

charging

Invoicing is done directly in Getyourlawyer. However, the recorded services and expenses must also be charged in Vertec so that they are no longer exported or in order to be able to perform the usual evaluations in Vertec.

There are two options for charging in Vertec:

• It’s going to be a normal invoice The Getyourlawyer fees can be entered as additional expenses so that the amounts match. This should be done immediately before the charging and the expenses should be included immediately so that they are not carried over on to Getyourlawyer. It is
  important that the invoice is charged (click on the Settle charge). Only then will the services and expenses on it no longer be considered as outstanding. The exact procedure is described in the article on     Invoicing described.
• The services and expenses shall be Internally charged . It is important that the corresponding mandate type is marked as internal. For this purpose, on the corresponding mandate type under Settings > Mandate > Mandate types, the checkbox may be Produktiv shall not be set:

Value-added tax

GetYourLawyer only knows one VAT rate. Therefore, Vertec does not perform an audit, but simply carries over the net value.

Delete services and expenses

Deleted services and expenses are not synchronized between Vertec and Getyourlawyer. Therefore, services and expenses deleted in Vertec must also be deleted manually in Getyourlawyer and vice versa.
