Updated: 28.09.2023 | Adapted to Vertec 6.7. Article Addin dialog integrated.

With the Vertec Explorer add-in, any documents from the Windows Explorer can be stored directly in Vertec.

The add-in can be run in the desktop app as well as the cloud app if the COM interface has been installed (advanced installation components).

To install the Explorer add-in, run the file with local administrator rights  InstallExplorerAddin.bat which is located in the Addins subdirectory of the Vertec installation.

After that, in Windows Explorer, right-click on the file you want to link and select In Vertec speichern. The Addin Dialog appears :

You can now select the entries in Vertec on which you want to create the activity . Only one activity will be created, but it will be linked to all the selected entries.

You can also specify whether you want the imported file kopieren or verschieben depending on whether you want to save documents in the Vertec System Settings General General Intern or Dateisystem oder DMS selected means the following (in case of internal document storage, the Document Path field is not shown in the dialog):

File storage Internal File system or DMS
copying A copy of the document is saved in Vertec directly on the activity. The original remains in the traditional location. A copy of the document is stored in the document path of the activity (the path of the first project or, if there is no project, the first address). The original remains in the traditional location.
move Vertec saves the document directly on the activity and deletes it in its original location.

The document is stored in the activity’s document path (the path of the first project or, if there is no project, the first address) and deleted in its original location.

Note for the Sharepoint online dms extension : The features copy and move are also available for use via the Sharepoint extension. Selecting move deletes the document in the file system after it has been saved in Sharepoint.

If a check mark is set for “Open activity then,” the generated activity will be shown directly in Vertec.

Ensure project assignment when saving documents

The CRM / Activities > Projekt-Zuordnung von Dokumenten via Addins sicherstellen system setting can be used to set whether the user has to select at least one project when saving documents via the add-in.

If this setting is set to JA, the Addin dialog cannot be closed until a project has been selected. Otherwise, the OK button is inactive:

The Addin Dialog

In the Add-in dialog you can select the entries in Vertec on which to create the activity. The different types (select, search for projects, search for addresses) can also be used one after the other.

Select each entry on the left and click on the >> button. The newly created activity will be linked to all entries shown on the right. If you want to remove an entry from this list, click on the << button.

  • Document path: This field is only shown if the General system settings specify that the Document Storage to Dateisystem oder DMS is set. The path is calculated by Vertec based on the first project or, if there is no project, the first address. The path can be changed here.
  • Document name: Under this name the document is saved.
  • Title: The activity that saves the document in Vertec gets this title.
  • Activity type: From the combo box Aktivitätstyp you can select to which type the generated activity is assigned. In the system settings > CRM / Activities you can specify a default activity type, which is used for emails or for document links. This then appears as a default in the above combo box and can be changed if necessary.

When you have made the desired selection, click on the button OK. Now an activity is created and the selected entries are linked to it. For example, if an address and a project are selected, the address appears as the contact address and the project as the project.

If several possible entries are selected (e.g. two addresses or several projects), they are linked in the order in which they were selected in the Outlook dialog. The first address, the first project, is assigned to the activity as described above. All other entries are appended as zugeordnete Einträge to the activity and can be called from the tab of the same name.

Search for objects

On the Search tab the objects can be searched with a text search in Vertec:

It can be searched both in projects and in addresses in Vertec.

The Search also disabled checkbox causes inactive projects or addresses to appear as search results. The default value of this checkbox can be Include deactivated entries in search dialogs via the system setting General > Include disabled entries in search dialogs.

Select Objects

The Select tab allows you to select the objects in the tree:

By default, the up-to-date user and already selected entries are shown here. In addition, the following objects are shown:

Folder “used projects”

Here, all activities 1 year ago that have assigned one of the found addresses as an address entry in the CRM or where the address appears under 'assigned addresses’ are searched. The projects of all these activities are displayed in this container.

Projects as a customer

Lists all projects where one of the addresses found is a customer. Contacts also include customers of the company.

Shows based on link types

All link containers of the found address entries, which contain projects or addresses, are shown together. This means that if e.g. the selected addresses are linked to different projects via a link type named beteiligt an, all these projects are shown together in a folder beteiligt an

Selection of phases

In addition to projects and addresses, phases can also be selected for linking.

If multiple entries are selected, the logic for linking to the activity works as follows:

  1. If a project and several phases are selected, the project is saved first and then one of the selected phases, but only if the phase belongs to the project.
  2. If a project is selected and 1 phase that does not belong to this project, then only the project will be saved.
  3. If only one phase is selected and no project is selected, this phase is saved and the project of the phase is the project.

Update Explorer Add-In

To also update the Explorer add-in during a Vertec update, proceed as follows:

  1. Unregister the existing addin by downloading the file UninstallExplorerAddin.bat run Addins in the subdirectory of your Vertec installation with local administrator rights.
  2. Exit Windows Explorer by exiting the Explorer process in Task Manager (press Ctrl+Alt+Del and select Task Manager) (mark Explorer.exe and click Exit process). Leave Task Manager open.
  3. Then restart Explorer by selecting File > New Task (Run...) in the Task Manager. In the dialog box, type explorer in the field and click OK.

After this process, the Explorer did not load the Explorer add-in anymore, so the new version can now be installed again as described above.
